Privacy Policy & Feedback
Privacy Policy
Introduction
This privacy policy provides information to you, our patient, on how your personal information (including your health information) is collected and used within our practice, and the circumstances in which we may share it with third parties.
Why and When Your Consent Is Necessary
When you register as a patient of our practice, you provide consent for our dentists and staff to access and use your personal information so they can provide you with the best possible healthcare. Only staff who need to see your personal information will have access to it.
If we need to use your information for any other purpose, we will seek additional consent from you.
Why Do We Collect, Use, Hold and Share Your Personal Information?

What Personal Information Do We Collect?
We may collect the following information about you:

Audio Recording and Transcription of Consultations
To enhance the accuracy and quality of your care, our practice may record consultations and securely transcribe them into your medical history notes. This process ensures no important details are missed, allowing our clinicians to focus fully on your needs during the consultation rather than taking extensive notes.
These recordings assist in:
- Maintaining precise and up-to-date records,
- Improving communication within our clinical team, and
- Supporting continuity of care, particularly if you see multiple providers over time.
Once the consultation has been summarised and the relevant notes securely entered into your file, the original recording is permanently deleted.
All recordings:
- Are treated with the highest level of confidentiality,
- Are stored only for the time required to complete the transcription, and
- Are de-identified, end-to-end encrypted, and processed in compliance with HIPAA, GDPR, PIPEDA, and the Australian Privacy Principles.
- This service is facilitated through Heidi, a secure clinical documentation platform. For further details about Heidi’s privacy practices and patient confidentiality measures, please visit heidihealth.com/safety.
